1. Policy Statement

Fola Sustainability Ltd is committed to providing a safe and healthy working environment for all employees, contractors, and others who may be affected by our activities.

As a small, professional advisory business, our work is predominantly office-based, remote, or undertaken at client premises. While our operational risk profile is low, we recognise our legal and moral responsibility to manage health and safety risks proportionately and effectively, in accordance with UK legislation and recognised best practice.

We are committed to:

i. Preventing injury and ill health
ii. Providing safe working conditions
iii. Consulting with employees on health and safety matters
iv. Continually improving our health and safety performance

2. Legal Framework & Standards

Fola Sustainability Ltd complies with all relevant UK health and safety legislation, including but not limited to:

i. The Health and Safety at Work etc.
ii. Act 1974 The Management of Health and Safety at Work Regulations 1999
iii. The Workplace (Health, Safety and Welfare) Regulations 1992

Our approach is informed by the principles of International Organization for Standardization ISO 45001:2018 (Occupational Health & Safety Management Systems), applied in a manner proportionate to the size, nature, and risk profile of the business.

3. Scope

This policy applies to:

i. All employees and directors of Fola Sustainability Ltd
ii. Contractors and consultants engaged by the company

It covers business activities carried out:

i. In offices and home-working environments
ii. At client or partner premises
iii. During business travel, meetings, and site visits (where applicable)

4. Roles & Responsibilities

The Directors have overall responsibility for health and safety and will:

i. Ensure this policy is implemented and maintained
ii. Ensure suitable and proportionate risk assessments are undertaken
iii. Provide appropriate resources, information, and support
iv. Review health and safety performance annually or following significant change

4.1 Employees and Contractors

All employees and contractors are expected to:

i. Take reasonable care of their own health and safety and that of others
ii. Follow company procedures and any applicable client site rules
iii. Report hazards, incidents, or near misses promptly
iv. Cooperate with the company’s health and safety arrangements

5. Risk Assessment & Control

Given the nature of our work, key health and safety risks may include:

i. Display screen equipment (DSE) and ergonomic risks
ii. Stress, workload, and mental wellbeing
iii. Lone working and remote working
iv. Travel-related risks when attending meetings or site visits

Fola Sustainability Ltd will:

i. Undertake proportionate risk assessments
ii. Implement appropriate control measures
iii. Review risks when activities or working arrangements change

Risk assessments are documented where appropriate and reviewed periodically, particularly when there are changes to working practices, locations, or activities.

6. Home & Remote Working

Where employees work remotely or from home, Fola Sustainability Ltd will:

i. Provide guidance on workstation setup and ergonomics
ii. Encourage regular breaks and healthy working practices
iii. Ensure employees understand how to report concerns, incidents, or wellbeing issues

7. Training, Information & Awareness

Fola Sustainability Ltd  will ensure that:

i. Employees receive appropriate health and safety information relevant to their role and working arrangements
ii. Guidance is provided on DSE use, wellbeing, and safe working practices
iii. Health and safety responsibilities are clearly communicated

8. Incident Reporting

All accidents, incidents, near misses, or work-related ill health must be reported to the Managing Director as soon as reasonably practicable.

Reported incidents will be reviewed to identify root causes and any appropriate corrective actions, proportionate to the nature and severity of the incident.

Where required, incidents will be reported in accordance with RIDDOR regulations.

9. Consultation & Communication

Fola Sustainability Ltd  is committed to consulting with employees on matters affecting their health and safety and encourages open communication, including feedback on health and safety concerns, to continuously improve our approach.

10. Monitoring & Review

This policy will be:

i. Reviewed at least annually
ii. Reviewed following significant organisational or operational change
iii. Updated as necessary to reflect changes in legislation or recognised best practice
